Run the club, not the paperwork.

Sound familiar?

  • The defib’s been checked. Probably. By someone.
  • The bar licence is in the old secretary’s name.
  • Presentation night: 180 in the function room, plus the bar. Is that over?
  • The committee changes every AGM. The records don’t survive it.

None of it is anyone’s fault. It’s what happens when the records live in drawers, inboxes and people’s heads.

Everything your building has to keep

Set up from a few questions about your building, so you start with the right list and nothing you don’t need.

  • Fire risk assessmentfor the clubhouse
  • Fire alarm testevery week
  • Emergency lightingmonthly test, yearly full test
  • Defibrillatorchecked every week
  • Gas safety checkevery year
  • Electrical inspection (EICR)every five years
  • Portable appliancestested every year
  • Premises licence conditionsif there’s a bar
  • Safeguarding policyif you have juniors
  • Martyn’s Law proceduresif the clubhouse can hold 200 people

Intervals are common practice. Where your own fire risk assessment says otherwise, it takes precedence.

How it works for sports clubs

  1. Whoever opens up gets the defib check

Every week, by email, logged in a minute from their phone.

  2. Match-day volunteers are briefed

They confirm the evacuation plan on their phone before kick-off.

  3. The new committee inherits everything

After the AGM, one link hands over the whole record, with its history.

About a minutefor someone to read and confirm a procedure on their phone. No account, no password, no app.
Hi Dave,Evacuation plan
  1. Open both gates to the car park.
  2. Spectators out by the main stand exit.
  3. Meet by the scoreboard.

For most clubs it’s the clubhouse, not the pitch.

Open grounds are often excluded. The clubhouse counts if 200 or more people can be in it at once, and paid entry or gated fixtures can bring the ground in too.

Questions we hear

Our volunteers won’t want another login.

They don’t get one. A link by email or text opens on their phone and takes about a minute.

We have a junior section.

Your safeguarding policy sits in the record with a yearly review, alongside everything else.

We have a clubhouse and a pavilion.

Add each building. Each is priced on its own size, on one bill.
