Privacy policy

Last updated 29 October 2026. Applies to venuerecord.co.uk and the record system at app.venuerecord.co.uk.

The Venue Record keeps safety records for buildings. To do that it has to hold some information about people: the people who run a venue, and the people who are asked to read a procedure or record a check. This page says what we hold, why, for how long, and what you can do about it. It is written to be read, not skimmed; if anything is unclear, email hello@venuerecord.co.uk.

Who we are

The Venue Record is operated by [legal entity name], a company registered in England and Wales (company number [number]) with its registered office at [address]. In this policy "we" means that company. We are the data controller for the website and for your account. For the names and email addresses a venue enters about its own people, the venue is the controller and we are its processor, under the terms below.

We do not use the information for anything else. We do not sell it, share it for advertising, or use it to train AI models.

How we use AI

Two parts of the record system use an AI model from Anthropic: reading a photograph of a fire notice or a certificate to pick out exits, dates and the like, and drafting procedures from the answers a venue gives about its building. What we send is the file or the answers, and the model's output is shown to you as a draft or a suggestion, never filed as a record on its own. Anthropic processes it under its commercial terms, which do not permit it to train on the data. Nothing about a building is invented: a question you did not answer is shown as a gap.

Who else handles it

We use these providers to run the service. Each processes data only on our instructions and under a written contract.

How long we keep it

Your rights

You can ask us for a copy of the information we hold about you, to correct it, to erase it, to restrict or object to how we use it, or to move it elsewhere. Email hello@venuerecord.co.uk and we will reply within a month. If you are one of a venue's people, we may need to pass your request to that venue, since they decided what to enter. If you are not happy with our answer you can complain to the Information Commissioner's Office at ico.org.uk.

Account holders can export everything in their account at any time from within it, and the export is still theirs if they leave.

Cookies

This website sets no cookies. Website analytics come from Cloudflare, which does not use cookies or identify individuals. The record system sets one cookie, to keep you signed in; it does nothing else.

Security

Data is encrypted in transit and at rest. Each organisation's data is separated at the database level, so one venue cannot read another's. Sign-in is by emailed link; there are no passwords to steal. Links sent to a venue's people are single-purpose, time-limited and stored only as a hash. Confirmed records cannot be edited or deleted by anyone, including us. If we ever have a breach that affects you, we will tell you and the ICO without undue delay.

Children

The service is for organisations and the adults who run them. We do not knowingly hold information about anyone under 16.

Changes

If we change this policy in a way that matters, we will email account holders before it takes effect. The date at the top is the date of the current version.
