Every building you run, in one place.

The hall, the pavilion, the play area, the office. Each with its own record and its own named person, and one view for the clerk.

Each building is priced by its size: most council halls are Small, £19, or Standard, £29. Ten or more buildings, talk to us about Groups.

Sound familiar?

  • Every building has its own folder. Some of them are in people’s houses.
  • The hall committee says they do the checks. Can we see?
  • The play area inspection is weekly. Is it?
  • The internal auditor asked how we know the buildings are looked after.

None of it is anyone’s fault. It’s what happens when the records live in drawers, inboxes and people’s heads.

Everything your building has to keep

Set up from a few questions about your building, so you start with the right list and nothing you don’t need.

  • Fire safety for each buildingchecks, tests and assessments
  • Play equipmentweekly look, yearly inspection
  • Treesinspected every year
  • Gas and electricsyearly gas check, EICR every five years
  • Portable appliancestested every year
  • Legionellawhere there’s water
  • Asbestos registerfor older buildings
  • Public liability insurancerenewed every year
  • Martyn’s Law proceduresfor buildings that hold 200 or more people
  • Eventswhether any are qualifying events

Intervals are common practice. Where your own fire risk assessment says otherwise, it takes precedence.

How it works for councils and groups

  1. Each building has a named person

Their checks go to them, with reminders, logged from a phone.

  2. The clerk sees every building

The ones that need someone first, with what’s overdue.

  3. Councillors get a link

A read-only view before the meeting, and evidence for the auditor.

About a minutefor someone to read and confirm a procedure on their phone. No account, no password, no app.

  1. Leave by the doors onto the green.
  2. Meet by the bus shelter.
  3. The booking secretary checks the kitchen.

Buildings and events are separate questions.

A council hall is in scope if 200 or more people can be there at once. Open parks are excluded, and a free fete with open access isn’t a qualifying event. Where a committee runs a hall the council owns, the duty usually sits with the committee.

Questions we hear

Some of our halls are run by a separate committee.

Add the committee’s people to that building. They run it; the clerk can still see it.

How is it priced for several buildings?

Each building on its own size, on one bill. Ten or more? Talk to us about Groups.

Can councillors see it without logging in?

Share a read-only link before the meeting. It expires when you choose.

Where is the data held?
