Every drill, check and certificate, ready for governors.

Fire drills each term, an asbestos register, the play equipment, the hall let out on Saturdays. One record the business manager keeps and governors can see, instead of five spreadsheets and a shared drive.

Most schools are on Standard, £29 a month. A school never pays the Large price, whatever its size.

Sound familiar?

  • It’s all on the shared drive. Somewhere.
  • The site manager knows where everything is. The site manager is retiring.
  • Governors asked for an update on the site. That’s a week of digging.
  • The hall’s let on Saturdays. Has the hirer seen the lockdown plan?

None of it is anyone’s fault. It’s what happens when the records live in drawers, inboxes and people’s heads.

Everything your building has to keep

Set up from a few questions about your building, so you start with the right list and nothing you don’t need.

  • Fire risk assessmentreviewed every year
  • Fire alarm testevery week
  • Fire drillsat least once a term
  • Emergency lightingmonthly test, yearly full test
  • Asbestos registermost schools pre-date 2000
  • Legionellarisk assessment and flushing
  • Gas and electricsyearly gas check, EICR every five years
  • Play equipmentweekly look, yearly inspection
  • Safeguarding policyreviewed every year
  • Martyn’s Law proceduresmost schools have 200 or more people

Intervals are common practice. Where your own fire risk assessment says otherwise, it takes precedence.

How it works for schools

  1. The site manager gets each check

With how to do it and why it matters, logged from a phone in a minute.

  2. Staff confirm the procedures

Lockdown, invacuation and evacuation, read on their phone. You see who hasn’t.

  3. Governors get a link

A read-only view of the whole record before the meeting, not a week of digging.

About a minutefor someone to read and confirm a procedure on their phone. No account, no password, no app.

  1. Close and lock the classroom door.
  2. Children away from the windows, quiet.
  3. Wait for the all-clear on the radio.

A school is never in the enhanced tier.

Education settings are standard tier whatever their size, and a primary with 180 pupils and 30 staff is over the line of 200 people. Most schools already drill. The usual gaps are invacuation as its own procedure, lettings, and the records.

Questions we hear

Do staff need accounts?

No. Staff read and confirm on their phone from a link. Only the people who run the record sign in.

What about lettings?

Add a regular hirer and send them the procedures to read and confirm. You’ll see when they have.

We’re part of a trust.

Each school is its own building with its own people, and the trust can see every one. Ten or more schools? Talk to us about Groups.

Where is the data held?

In London. Private to the people you add, and you can download all of it at any time.
